PI Convention Refund and Registration/Transfer Policy. What You Need to Know.
We want to make sure everyone understands our refund and transfer policy for the Pilot International Annual Convention and Leadership Conference.

Need to transfer your registration?
- No problem! Just send us an email (conventions@pilothq.org) with your request at least two weeks before the event (by July 1, 2026). After that, we can’t accept substitutions.
Need to cancel? Here’s how refunds work:
- Cancel in writing 4 weeks or more before the event: you’ll receive a full refund. deadline Before June 17, 2026
- Cancel in writing between 4 and 2 weeks before: you’ll receive a 50% refund. June 17 – July 1, 2026
- Cancel in writing within 2 weeks of the event: no refund can be issued. After July 1, 2026
Why we can’t issue refunds within 2 weeks.
- By the final two weeks before the Convention, Pilot International has already paid for hotel space, catering, materials, and other event costs based on registration numbers. Since these expenses can’t be recovered, we’re unable to refund cancellations made during this time.
